Welcome to iMSurveyor ("we", "our", or "us"). We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our maritime survey and inspection platform at imsurveyor.com and any related mobile applications (collectively, the "Platform").

Please read this policy carefully. If you disagree with its terms, please discontinue use of the Platform.

2. Information We Collect

We may collect the following categories of information:

  • Account Information: Name, email address, job title, company name, and password when you register.
  • Survey & Inspection Data: Vessel particulars, survey findings, inspection checklists, photos, notes, and generated reports you create within the Platform.
  • Payment Information: Billing details processed securely via Stripe. We do not store full card numbers on our servers.
  • Usage Data: Log data, IP addresses, browser type, pages visited, and feature interactions to improve the Platform.
  • Device & Offline Data: Data stored locally on your device when using offline mode, synced to our servers when connectivity is restored.

3. How We Use Your Information

  • To provide, operate, and maintain the Platform and its features.
  • To generate AI-powered reports using your survey findings as input.
  • To process payments and manage your subscription.
  • To send transactional emails (account confirmation, subscription alerts, schedule reminders).
  • To improve Platform performance, fix bugs, and develop new features.
  • To comply with legal obligations and resolve disputes.

4. AI-Generated Content

iMSurveyor uses third-party AI services to process your raw survey notes and generate professional report drafts. Your input data is transmitted to these AI services solely for the purpose of generating your report. We do not use your survey data to train external AI models. Generated reports are stored securely and are only accessible by you and, where applicable, your team members under the same organisation account.

5. Data Sharing & Disclosure

We do not sell your personal data. We may share your information with:

  • Service Providers: Stripe (payments), cloud hosting providers, and AI inference providers, under strict data processing agreements.
  • Team Members: Where you are part of a Company or Enterprise account, authorised team members within your organisation may access shared reports and inspection data.
  • Legal Requirements: Where required by law, court order, or governmental authority.

6. Data Retention

We retain your data for as long as your account is active or as necessary to provide services. Account deletion requests are processed within 30 days. You may also request deletion of specific data without closing your account (see Section 7 below).

7. Data Deletion

You have the right to request deletion of your data at any time. We offer two levels of deletion:

Delete Your Account

You can permanently delete your iMSurveyor account and all associated data — including reports, inspections, vessels, CAT records, and subscription history — directly from within the app via Account → Delete Account, or by submitting a request to:

Deletion is permanent and cannot be undone. Requests are processed within 30 days.

Delete Specific App Data

You can request deletion of specific data collected through the app — such as activity history, transaction history, uploaded images, or individual reports — without deleting your entire account. The following data types can be selectively removed:

  • Survey reports and generated report content
  • Inspection checklists and findings
  • Uploaded photos and attachments
  • Vessel records
  • Corrective Action Tracker (CAT) records
  • Tank calibration data
  • Schedule and booking history

Please specify the data type(s) you wish to have removed. Requests are processed within 30 days.

Note: Some data may be retained for a limited period where required by law (e.g. billing records for tax compliance) or to resolve outstanding disputes. Any such retained data is clearly scoped and deleted as soon as the retention period expires.

9. Data Security

We implement industry-standard security measures including HTTPS encryption in transit, encrypted storage at rest, and role-based access controls. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

10. Your Rights (GDPR / UK GDPR)

If you are located in the EEA or United Kingdom, you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request erasure of your data ("right to be forgotten").
  • Object to or restrict processing of your data.
  • Data portability — receive your data in a structured, machine-readable format.

11. Cookies

We use essential cookies required for authentication and session management. We do not use advertising or tracking cookies. You can control cookie settings via your browser, though disabling essential cookies may affect Platform functionality.

12. Children's Privacy

The Platform is intended for professional use by adults aged 18 and over. We do not knowingly collect personal data from children under 16.

13. Changes to This Policy

We may update this Privacy Policy periodically. We will notify you of material changes by email or via an in-app notification. Continued use of the Platform after changes constitutes acceptance of the revised policy.
